Data Cleansing

An important element of data management is to ensure that data is accurately updated. Extraction of data merely takes time from your source of information, your paper files, going through yellow pages, directories assistance. This does not mean that all your required data is accurate or up to date. Certain inconsistencies may be present that need to be clarified before they are transferred to your back office, marketing & sales team for future and better growth of the company.

Data Cleansing - Voice Operations

An up to date data is very important factor these days for any business or company to have an advantage. We employee highly skilled staff with neutral accent to get this information on behalf of our clients.

Methodology

We have seasoned professional managers who have a robust and proven methodology to execute process transition at the time of migrations.  

  • Each client or company will be contacted by professional tele operators and a set of questions (Questionnaire) would be asked for the relevant information which is to be asked or requested by our tele operators, who would be calling. Alternatively communication could be by email to gather more information as well.
  • All information from telephone conversations will be logged on to a software application or separate sheets as per the need of the Client.
  • Logged information will then be extracted on the Master Spreadsheet on a weekly basis.
  • Reconciliation of data will be provided as accurate, frequent updates from the companies along with all relevant information.
  • A detailed report would then be sent out by Cressanda to its Clients.

Cressanda has a state of art facility for Voice Operations which is capable of both Inbound and Outbound Voice Operations.

Data cleaning can be carried out off-shore at a much reduced cost with better Quality.
Data Extraction
1. Manual Data Extraction is the process whereby specified data is manually extracted at low cost from various file formats of normally scanned files, (but can be any files delivered in electronic or paper format). The data can be transferred to alternative systems, such as a back office or administration system.
Input can either be direct into the alternative systems through remote access. If required (and allowed) a thin slice application compatible with the "field rules" of new destination will be created. It enables pure electronic transfer of the data. Or, the consolidated information can be supplied to the back office for example for them to import.
2. Electronic Data Extraction (EDE) is the process whereby specified data is electronically extracted from various formats such as a legacy system, access, excel, existing back office, admin system. After this the data is transferred to an alternative destination system(s), such as a new back office or administration system.

Transfer through EDE can either be direct, if possible, into the new place. If required, a thin slice application compatible with the new destination

Extraction is normally carried out at Cressanda's outsourcing center in New Delhi, India. The scanned files may either be accessed by the center through a secured remote server in UK through a leased line or through physical transfer of data on CD/other memory devices. If scanning is cost prohibitive or serves no additional purpose to your organization then we can use our UK team of data extractors for your satisfaction.

Identifying, extracting and inputting data accurately, is critical to a process that contains several alphanumeric fields. A minor error in extraction and particularly input, can provide entirely misleading information to the end user.

For instance: a product policy number is incorrect by one digit. Here, it will not be recognized by the Provider, data dumps or data streamers when still in the back office system. Using inexperienced resources will result in a high percentage of data input errors. These errors can be as high as 40% or more if not carried correctly.

The data will then be checked for consistency and quality manually and electronically. The electronic check can be carried out using a data analysis tool that checks for accuracy and inconsistencies based on prescribed queries as mentioned earlier. Any errors identified will be corrected as a part of our Quality Assurance procedures.

Data Processing

One of the major problems faced by most of the companies, is to deal with the ongoing processing with cost savings. The troubles generally occur once the companies have sorted out the problem concerning their data files.

Using offshore resource, Cressanda provides ongoing processing of client information with data entry or transfer into your systems at low cost. This may include admin processing, reconciliation, payroll, data entry into document management and information gathering.

You are suggested to retain the client facing functions such as: dealing direct with the public. This is because later is not always a strong point to offshore. The "call-centers" have yet to be proved entirely successful.

Our UK admin can provide some of the client facing processing e.g. dealing with letters of authority that requires originals. Sending these letters abroad is not time efficient. We will provide consultancy in this area if required. Careful mapping of procedures and detail of the process is required. Once done and agreed the results are effective.
